The administrative cost of ground transport usually exceeds the visible cost of the journeys. Dozens of small card charges, each needing a receipt, a claim, an approval and a reconciliation, consume finance time out of all proportion to the amounts involved.
A consolidated statement collapses that. One invoice per period covers every journey on the account. Each line carries the passenger, date, route and your own reference or cost-centre code, so allocation is a sort rather than an investigation, and the rate on the line is the rate from the schedule you agreed.
Reconciliation
Because pricing comes from a fixed schedule, a line that does not match is an exception worth querying rather than normal variance to be absorbed. Supporting journey detail is available against any line without a request having to escalate, and statements can be cut to whatever period your finance calendar actually runs on.
