Delegate movement is a volume problem with a very narrow tolerance. Two hundred people arriving across a four-hour window is not two hundred bookings; it is a manifest, a staging plan, and somebody whose job is to watch it happen.
We plan the arrival wave against the actual flight and rail times, run inter-venue loops on a published frequency rather than on request, and build the departure manifest backwards from the last usable check-in time. Where the volume justifies it, an on-site coordinator works the ground so the organiser is not also dispatching cars.
What we need from you
- The delegate list with arrival and departure times, as early as it exists
- Venue addresses and any access or dwell-time restrictions
- The VIP subset that needs individual handling rather than shared movement
- A named on-site decision-maker for live changes
